Changing the File Status

At various points in a file’s lifecycle, you are prompted to change the status for a file. This happens when you close, delete or re-open a file. The status and state are linked. The state is system-defined and based on the actions taken upon a file. When a file with the state New is opened, for example, its state is automatically changed to In-Progress. The statuses are defined by your administrator and allow you to put a finer level of detail on the state; the In-Progress file could have the status Active, Reviewed, Escalated, etc.

Prerequisites: You must have the 'Change File Status' function enabled for your role.

Note: The Delete option is not available in responsive forms.

To change the status for a file:

  1. Perform an action (e.g. Close or Delete) that prompts for the status to be changed.
  2. Note: You can change the file state from the Search page, the File Info Center or from the More Actions menu (see example) of the management form. Whatever method you use to change the file state, you will be prompted to enter the status.
  3. Use the Select Status drop-down list to choose an administrator-defined status.
  4. (Optional) If closing a file, use the MessageClosedThe test results are received via a message from the client integration engine to the RL integration engine. Each message may contain one or more test results; these test results only pertain to a single order. to Submitter field to enter additional information for the file submitter. This information is displayed in an email notification sent to the file submitter when a file is closed and within the File Submission Tracker page.
  5. Note: This field will only appear if the MSG_TO_SUBMITTER_ON_FILE_CLOSE general system parameter has been enabled for your module.
  6. Click OK.
